Terms and conditions for use of facilities

1) Cancellation procedures and charges

All cancellations must be made in writing via email. Cancellation is then confirmed by return email.

All bookings are required to be paid for in advance – bookings will not be confirmed until payment is received.

Administration charges may be applied in the event of late or non-payment.

Should the user cancel and provide at least three clear working days’ notice, then no further action will be taken. Otherwise, the following cancellation charges apply:

2) Access

Conference facilitators have access 15 minutes prior to the times booked (unless this time is before 8.45am) to ensure that equipment and room are as required. Newark Beacon does not hold any responsibility for ensuring that conference facilitator’s equipment is compatible with Newark Beacon’s equipment.

3) Insurance

Newark and Sherwood District Council does not insure contents belonging to users of the conference meeting rooms. Please make arrangements to insure your own equipment during your meetings.

4) Other terms

Our prices are continually reviewed and may be subject to change.

Newark and Sherwood District Council shall in no circumstances be liable for any loss or damage however caused to property of the user, its agents or employees, or any breakdown in machinery, failure of electricity supply, leakage of water, fire, government restriction or Act of God, all of which may cause the premises to be temporarily closed or the hiring to be interrupted or cancelled, whether or not caused by negligence of the district council.

The user agrees to pay Newark and Sherwood District Council in full, for any loss or damage, however caused to any equipment used. The user will be liable for any security call-out charges incurred by failure to leave the meeting room in a secure condition i.e. all windows closed and locked and doors closed.
